This Privacy Policy explains how the BJK Family Portal handles information from authorized users of our private, self-hosted services.
The BJK Family Portal ("we," "us," "our," or "the Portal") is a private technology platform operated for the BJK family, invited family members, and approved guests. It provides secure access to self-hosted services, account management, and other family-oriented tools.
By using the Portal, you acknowledge the practices described in this Privacy Policy.
1. Information We Collect
We collect only the information reasonably necessary to operate, secure, and support the Portal.
This may include:
- Name, username, and email address
- Account identifiers and group memberships
- Phone number, if you choose SMS-based multi-factor authentication or account recovery
- Login activity, including successful and failed authentication attempts
- Multi-factor authentication enrollment, recovery, and verification activity
- IP address, browser information, device information, and security logs
- Information you voluntarily upload or create within individual Portal services
Different applications may collect or display additional information needed for their normal operation. For example, a photo application may store uploaded photos and metadata, while a document system may store files, labels, and document details.
2. How We Use Information
We use account and security information only to:
- Create and manage user accounts
- Authenticate users and protect accounts
- Provide multi-factor authentication and account recovery
- Maintain service security, reliability, and backups
- Troubleshoot technical problems
- Respond to support requests
- Investigate suspected misuse, security incidents, or violations of our Terms of Service
- Administer access to services available to you
We do not sell, rent, trade, or use personal information for advertising.
3. SMS Authentication
SMS-based multi-factor authentication is optional.
If you choose SMS authentication or SMS-based recovery, we may send text messages for:
- Login verification
- Multi-factor authentication codes
- Account recovery
- Account-security alerts
These messages are transactional and security-related only. They are not marketing or promotional messages.
Message frequency varies based on your login and account activity. Message and data rates may apply.
You may reply STOP to stop receiving SMS messages or HELP for assistance. Opting out of SMS may prevent you from using SMS-based multi-factor authentication or account recovery.
Phone numbers are shared only with our SMS delivery provider as necessary to deliver authentication and security messages. We do not sell or rent phone numbers.
4. Data Storage and Administration
The Portal is primarily hosted on privately managed infrastructure operated by the BJK Family Administrators.
Administrative access is limited to authorized administrators for:
- System maintenance
- Security monitoring
- Troubleshooting
- Backup and recovery
- Responding to user requests
- Investigating suspected abuse or security incidents
Administrators are expected to access personal content only when necessary to operate, maintain, repair, secure, or support the service; when requested by the account holder; or when required to investigate a security issue or violation of the Terms of Service.
Some services may use encryption or end-to-end encryption features. Those protections vary by application. You should review the documentation and recovery options for any service where you store especially sensitive information.
5. Third-Party Services
The Portal may use limited third-party services to operate specific features, such as:
- DNS and domain services
- Email delivery providers
- SMS delivery providers
- Off-site backup providers
- Optional identity providers or integrations that you choose to connect
These providers receive only the information necessary to perform their service.
6. Optional Integrations
Some future Portal features may allow optional integration with services such as Google, Discord, calendars, storage providers, or other accounts you choose to connect.
You are not required to connect third-party accounts to use the Portal unless a specific feature clearly requires it.
When an optional integration is enabled, we use the information it provides only for the feature you intentionally enabled. We do not use connected account data for advertising, profiling, or sale to third parties.
7. Data Retention and Deletion
We retain account, security, and service data for as long as necessary to operate the Portal, maintain backups, meet security needs, or resolve technical issues.
You may request deletion of your Portal account or personally stored content by contacting the administrator. Some information may remain temporarily in backups, logs, or security records until those records expire or are overwritten through normal system operations.
8. Security
We use reasonable technical and administrative measures to protect Portal systems and user data. However, no self-hosted or internet-connected service can guarantee absolute security.
You are responsible for protecting your password, recovery information, and multi-factor authentication methods.
9. Changes to This Policy
We may update this Privacy Policy as the Portal changes or new services are added.
The current version will be posted on the BJK Family Portal with its effective date.
